We encourage all reasonable, genuine, and sincere complaints to be raised as soon as possible to enable resolution. We work to resolve complaints quickly. Below are the principles that underpin our complaints procedure.
• We take all complaints seriously.
• We listen to concerns without bias.
• We aim to reach a fair outcome.
• We inform of next steps.
In most circumstances, complaints are resolved during early resolution stage. If you are dissatisfied with the initial response to your concerns, you will be asked to log an “informal” complaint. If you remain dissatisfied following the informal early resolution, you can escalate your complaint to the formal stage.
If you are dissatisfied with the outcome from early resolution complaints stage, you may submit a formal complaint. We will assign a member of staff to assume responsibility for investigating and facilitating a resolution. They will gather information and speak to the relevant parties find out what has happened. They may need to request evidence from one or more parties and meet with you to discuss your concerns. Each complaint is individual and it will be important for us to gather a complete account of your concerns. We aim to resolve the issue through discussion, where possible. You will then receive a letter explaining the decision made and the actions taken. If you are not happy at this stage you can request a review of this outcome by speaking to, or emailing us at: complaints@quininstitute.com
If you remain dissatisfied after receiving the outcome letter at the formal complaint stage, you can request that this outcome is reviewed by another member of staff. You must do this as soon as possible after you receive the outcome letter, and in all cases within two weeks of the date of that letter. The review stage will follow similar rules to the formal stage and will focus on ensuring a thorough and fair investigation has taken place and reasonable outcome provided. If there is any relevant information you believe has not been considered already you should provide it at this stage to enable thorough review. The reviewer will issue a Completion of Procedures (CoP) letter that will evidence completion of the Quin Institute complaints procedure.
